Authorize an increase of $400,000.00 to Contract No. 901221 with Stolze Door Company d/b/a Overhead Door of Clearwater, extend the contract term through March 11, 2028, pursuant to Clearwater Code of Ordinances Section 2.563(1)(c), cooperative purchasing, and authorize the appropriate officials to execute same. (consent)

SUMMARY: 

The City participates in the Tampa Bay Area Purchasing Cooperative contract administered by Pinellas County for overhead and security door services. Pinellas County issued Invitation to Bid (ITB) 21-0052-B(DG) on January 21, 2021, receiving two bids and awarding the contract to Stolze Door Company as the lowest responsive, responsible bidder.

 

The cooperative contract provides preventive maintenance, emergency repairs, replacement doors, installation services, and parts for overhead and security doors at multiple city facilities, including Fire Stations, Wastewater Treatment facilities, Parks & Recreation sites, Police, Municipal Services, and other operational buildings.

 

Pinellas County has executed amendments extending the contract term through March 11, 2028, and updating pricing and service locations. The City’s participation follows the same terms, conditions, and pricing established in the County’s agreement.

 

The City previously established a nottoexceed amount of $625,000.00 under Contract No. 901221 for use of this cooperative contract through March 11, 2026. To align with the County’s extended term and ensure continued maintenance and repair coverage for critical City facilities, authorization is requested to increase Contract No. 901221 by $400,000.00 and extend the contract term through March 11, 2028, resulting in a new total nottoexceed amount of $1,025,000.00.

 

This increase supports ongoing preventive maintenance, emergency response, and replacement needs necessary to maintain safe and reliable city infrastructure.

 

APPROPRIATION CODE AND AMOUNT:

Funding for the current year’s portion of this contract is available in General Services Department - Building & Maintenance Division cost code 5656531-530300, contractual services. Funding for future years will be requested as part of the annual budget process.

General Services - Building & Maintenance is funded by the General Services Fund, an internal service fund of the City established to provide city-wide building maintenance.

STRATEGIC PRIORITY:

This purchase supports the objectives of a High Performing Government (1.2) by maintaining essential City infrastructure and ensuring that operational assets remain safe, reliable, and fully functional to support uninterrupted public service.
