Approve a Special Event Grant Funding Request from Maxx Marketing, Inc. in an amount not to exceed $50,000 for the Marchtoberfest…1/2 way until Oktoberfest and authorize the appropriate officials to execute same.

SUMMARY: 

The purpose of this item is to request approval of funding for Marchtoberfest…1/2 way until Oktoberfest that will take place in Coachman Park, on Friday, March 28, 2025 and Saturday, March 29, 2025, from 3:00 pm to 10:00 pm.  This two-day event is free and open to the public and has an anticipated attendance is 2,500 per day. 

This first-time event: Marchtoberfest…1/2 way until Oktoberfest is an Oktoberfest-style event with a twist. It represents the halfway point until the traditional Oktoberfest. Marchtoberfest…1/2 way until Oktoberfest will feature live entertainment, children’s activities and food vendors. 

Maxx Marketing Inc. has produced other events such as Bonita Brew Fest in Bonita Springs, FL for nine years with 2,000 in attendance; Valpo Brew Fest in Valparaiso, IN for 18 years with 3,300 in attendance; and Wellington Classic Brew Fest in Wellington, FL for six years with 1,500 in attendance.

Based on the information provided, Maxx Marketing Inc. has estimated that the total cost of this event will be $117,145 and is requesting a total funding amount of $85,450.  CRA and Special Events staff worked together to review the proposed application, budget, and map.  Staff is recommending a funding amount not exceeding $50,000 for costs associated with entertainment, marketing, insurance, and city fees. The city fees are estimated to be $11,302.50 and will be the responsibility of the applicant to pay.

Funding for this grant will be allocated to the FY 24/25 Special Event line of the budget- 1829411-558600.
